While your booking system and AI agent are in production, no one from our company can read or alter your data. We manage the infrastructure only, not the contents.

Isolation by Design
- Dedicated environment per customer: each client runs on its own secure server instance, isolated at the operating system and storage level.
- Separate encrypted storage: every customer’s data resides on encrypted storage, ensuring complete separation from other customers.
- Private databases and vector stores: application databases and AI memory stores are never exposed to the public internet.
- Minimal exposure: the only entry point is through our secure web interface (HTTPS).
Data Protection
- Encryption at rest: all customer data, including backups, is protected with industry-standard AES-256 encryption.
- Encryption in transit: all communication is secured with TLS 1.2/1.3 to prevent interception.
- Secrets management: application credentials and keys are securely stored and never hard-coded.
- Regular backups: data is backed up daily and stored securely, with additional weekly full-system snapshots for disaster recovery.
Compliance Readiness
- HIPAA: we support HIPAA-compliant deployments. We enter into Business Associate Agreements (BAAs) where required.
- GDPR: our systems are designed for compliance with GDPR, including support for data export and the “Right to be Forgotten.”
- Access control: infrastructure is managed with the principle of least privilege — only authorized roles can access system resources.
- Auditing & monitoring: all system activity is logged and monitored, with alerts for unusual activity, storage thresholds, or performance spikes.
Customer Lifecycle
- Provisioning: new customer environments are launched from secure templates.
- Operation: environments are continuously monitored and backed up.
- Upgrades: new features and security updates are deployed with safe migrations.
- Deletion: upon termination, environments and all associated backups are securely deleted, ensuring complete data removal.
History Queries
Stateless External Queries
When our system interacts with external large language models (LLMs), those requests are made statelessly:
- We do not build or maintain any hidden history outside your dedicated environment.
Stateless External Queries
Different LLM providers offer different retention policies:
- Zero Data Retention (ZDR): With this option (available from providers such as OpenAI Enterprise or Anthropic Claude), no prompts or responses are stored at all. Data passes through the LLM strictly for inference and is immediately discarded.
- Limited Retention (default for some APIs): Some providers temporarily retain requests (typically up to 30 days) solely for abuse and misuse monitoring. After this short retention period, the data is automatically deleted.
- No Training: In all cases, customer data is never used to train LLM models.
Customer Choice
We recognize that data sensitivity varies by customer. Therefore, we provide flexibility:
- Customers may opt into a Zero Data Retention policy if supported by the chosen LLM provider.
- Customers may choose the default retention policy (short-term storage for abuse monitoring only).
- In either case, all AI agent memories (short-term and long-term) remain inside your dedicated customer server, under your control. These memories belong to you and can be exported or deleted — individually or entirely — at any time.
